Jesuit Volunteers Philippines Foundation Inc would like to invite people who would be interested to apply for the position of Administrative Assistant

JOB SUMMARY:The Administrative Assistant takes charge of the administrative and logistical requirements of the Foundation.

This is a job wherein a new graduate can learn tremendously regarding the management and programs of the Jesuit Volunteers Philippines, as well as get exposed to different people in the social development world. SPECIFIC DUTIES AND RESPONSIBILITIES:

I. Administrative

A. Preparation and Management of Files and Documents
1. Prepares and encodes documents including minutes of meetings, evaluations,
surveys and reports of the office;
2. Consolidates the annual calendar of the different officers of the National Office and submits these to the Executive Director to review and finalize;
3. Assists in the preparation of documents for submission and mailing;
4. Prepares and submits liquidation reports of own expenses and as instructed by the Executive Director;
5. Files Foundation documents;
6. Keeps custody of Office Manuals.

B. Coordination with Outside Offices
1. Prepares letters for hanging of banners, request for opening of office, etc.;
2. Prepares and submits quotations to printers, etc.
3. Updates the mail permit of the Foundation's newsletters every April and
October of the year at the Postal Corporation

C. Logistical Arrangements
1. Reserves transportation tickets for staff, volunteers and Board members;
2. Takes charge of food requirements for meetings and Foundation activities;
3. Reserves rooms and facilities for JVP use

D. Human Resource Management
1. Takes charge of life and accident insurance documents;
2. Secures temporary and permanent identification cards of staff, members and volunteers;
3. Secures calling cards, e-mail accounts and other needs of staff;
4. Orients new staff on the administrative and office policies and rules.

E. Office Management
1. Answers the office telephones;
2. Receives and sends fax messages;
3. Receives documents delivered to the office;
4. Monitors the use and ensures availability of office supplies;
5. Photocopies documents and monitors and encodes the charging of office
6. Ensures the orderliness and cleanliness of the office

F. Assist in Fundraising
1. Assists the Resource Development Officer for Special Projects in selling of JVP merchandise;
2. Assists the Senior Resource Development Officer in putting proposals together

II. Messengerial Services

A. Performance of Bank Transactions
(upon instruction of the Finance Officer)
1. Submits documents to banks;
2. Deposits and encashes checks;
3. Deposits and withdraws funds;
4. Secures the signature of proper signatories for the performance of bank transactions; and
5. Performs such other bank transactions as may be directed by the Finance Officer

B. Payment of Remittances and Bills
1. Submits forms and pays remittances to the Bureau of Internal Revenue (BIR), Social Security System (SSS), Pag-ibig, and Philhealth at their respective offices before the tenth of every month;
2. Submits registration of new employees to BIR, SSS, Pag-ibig and Philhealth;
3. Submits Annual Information for Withheld taxes to BIR every January
4. Submits a quarterly report to SSS, Pag-ibig and Philhealth; and
5. Pays bills (internet/e-mail, phone, etc.) at the designated banks or payment centers;

C. Deliveries and Pick-ups
1. Picks up check, cash and in-kind donations and payments upon instruction of the Finance Officer;
2. Picks up letters and other documents;
3. Delivers documents, packages and other materials;
4. Mails letters, newsletters and other documents; and
5. Sends letters and packages by courier (LBC, Aboitiz, DHL, etc.).

D. Purchases
1. Purchases transportation tickets (PAL, Negros Navigation, Superferry, Philtranco, etc.); and
2. Purchases office supplies and other needs of the office.

E. Performs other duties as may be required by the Executive Director.

-Organized and efficient, pays attention to details, capable of multi-tasking
-Computer literate especially in Word and Excel
-Good typing abilities
-Trustworthy, cheerful and industrious
-Can take instructions well and work harmoniously with the group
-College graduate
